The brief

Context and next steps

Executive summary

Brackenridge Construction Group spent $919,209 on software across the last twelve months, spread over 18 platforms. Of that, $871,689 is still being paid for today — the difference is Dropbox, which stopped billing in January. At 220 staff that works out at roughly $3,962 per employee, which sits just under the $4,000 Australian mid-market benchmark. The total is not the problem.

Where the money sits is. Five platforms carry 53% of the spend and eight carry 70%, so a handful of renewals decide almost everything.

Four pairs of tools overlap, worth $194,040 a year between them if the business chooses to consolidate. Procore and Oracle Aconex both handle project documents. HammerTech and Damstra both handle site safety and compliance. Microsoft Copilot is licensed to all 245 Microsoft seats while ChatGPT Enterprise was added separately in February for 60. And 80 Zoom seats run alongside Microsoft Teams, already paid for. None of these are automatic cancellations — each is a decision about what the business actually needs.

The most urgent finding is a renewal. The Procore agreement required 90 days' written notice and that deadline fell on 1 September, four days before this review. The contract has renewed for another twelve months at $112,800. Separately, the Aconex schedule states an expiry of 31 October but the page setting out its notice period is missing, so that deadline cannot be calculated and may also have passed.

Nothing here has been actioned. These are the figures a review of the billing data and the four supplied agreements shows.

Recommended next steps
In priority order.
  1. 1

The Procore notice deadline passed on 1 September. Ninety days' written notice was required against a 30 November expiry. $112,800 has renewed for another year. The agreement caps uplift at 7% per renewal term — worth checking that cap was applied.

    Joint · Before 1 September

  2. 2

Aconex expires 31 October. A 30-day notice period has been assumed, putting the deadline at 1 October, but the supplied schedule refers to notice provisions in a Master Agreement that was not included. Until that document arrives the deadline is an assumption rather than a fact. Requesting it is the single most time-sensitive action on this list.

    Joint · Before 31 October

  3. 3

Two document platforms, $183,000 combined. Procore and Aconex cover much of the same ground. On major projects the document platform is often mandated by the principal rather than chosen — worth checking what current head contracts require before either is touched.

    Joint

  4. 4

Two AI assistants, $153,000 combined, or 17.6% of the run-rate. Copilot is licensed across all 245 Microsoft seats but only 41 are active. ChatGPT Enterprise was added in February for 60 more and its usage has never been measured. Which one people actually use is still unknown.

  5. 5

The safety platform overlap has been closed. HammerTech and Damstra were both flagged as duplicates; the client has confirmed they do different jobs, as HammerTech does not handle subcontractor pre-qualification and head contractors require it. No saving is available there.
